Retreat Booking & Cancellation
This Policy governs all bookings for retreats, yoga intensives, multi-day programs, group sessions, one-on-one coaching packages, and personal training packages offered by THOR – The House of Rose. It should be read together with our Terms of Service and Health and Safety Policy. By completing a booking, you confirm that you have read and agree to these terms.
1. Booking and Deposit
A booking is confirmed only upon receipt of a deposit or full payment as specified at the time of registration.
- Retreats and multi-day programs: a non-refundable deposit of 30% is required at the time of booking to secure your place. The remaining balance is due no later than 30 days before the program start date.
- Coaching packages (3-month, 6-month, etc.): full payment or the first installment (where a payment plan is offered) is due at the time of booking.
- Single sessions, drop-in classes, and workshops: full payment is due at time of booking.
We accept the following payment methods: all major credit cards, Paypal. Payment plans, where available, are described at the time of purchase. Failure to complete scheduled installments may result in suspension of service until the balance is current.
2. Retreat Cancellation by Participant
We understand that plans change. Our cancellation schedule is designed to balance flexibility with the real costs we incur in planning and preparing for each retreat.
2.1 Multi-Day Retreats and Intensives
Cancellations must be submitted in writing to terry @ the house of rose.com. The following refund schedule applies based on the number of days before the retreat start date that we receive your written cancellation:

Refunds are issued to the original payment method within [7-10 business days] of cancellation confirmation.
2.2 Coaching and Training Packages
For multi-session coaching or personal training packages that have not yet started:
- Cancellation more than 14 days before the first scheduled session: full refund less a $250 administrative fee.
- Cancellation within 14 days of the first session: 50% refund of unused sessions less a $250 administrative fee.
- Cancellation after the package has begun: refund for unused sessions only, at the per-session rate applicable to the package, less a $250 administrative fee.
Unused sessions from an expired package are not eligible for a cash refund. Packages expire 3 months from the date of purchase unless otherwise stated at time of sale.
2.3 Single Sessions and Drop-In Classes
Single session and drop-in class cancellation policy:
- Cancellation more than 24 hours before the session: full credit toward a future session.
- Cancellation within 24 hours or no-show: session is forfeited with no credit or refund.
We understand emergencies happen. Requests for exceptions to the no-show policy will be considered on a case-by-case basis at our sole discretion.
3. Transfers and Substitutions
In some instances, you may transfer your retreat registration to another eligible participant, subject to our approval and the following conditions:
- Written notice must be provided to terry @ the house of rose.com no later than 60 days before the program start date.
- The substitute participant must complete any required health intake forms and agree to our Terms of Service and Health and Safety Policy.
- A transfer fee of $250 may apply.
Coaching packages are non-transferable; they are designed for the registered individual.
4. Cancellation or Changes by The House of Rose
We reserve the right to cancel, reschedule, or modify any program due to insufficient enrollment, instructor illness or emergency, force majeure events (including severe weather, natural disasters, or public health emergencies), or venue unavailability.
If we cancel a program: we will provide as much advance notice as practicable and offer you the choice of an alternative future date, a full refund or a credit toward a future program of equal or greater value. We are not responsible for non-refundable travel, accommodation, or other costs you incur in connection with a cancelled program, and we strongly recommend travel insurance for multi-day retreats.
If we reschedule a program: we will notify you promptly. If the new date does not work for you, you may request a full refund or credit within 14 days of the reschedule notice.
5. Assumption of Risk and Health Clearance
Participation in retreat programming, including yoga, movement, and wellness activities, involves physical exertion and carries inherent risks. By completing your booking, you confirm that you:
- Are in sufficient physical health to participate in the activities described in the program.
- Have consulted a licensed healthcare provider if you have any pre-existing medical conditions, injuries, or health concerns that may be affected by physical activity.
- Will complete any health intake form required before your program begins.
- Voluntarily assume the inherent risks of physical activity and group wellness programming.
We may require a signed participant waiver and assumption of risk agreement before your program begins. This waiver is a condition of participation. Failure to sign will result in cancellation of your booking with a refund subject to the cancellation schedule in Section 2.
6. Travel Insurance
We strongly recommend that all retreat participants purchase comprehensive travel insurance, including trip cancellation, medical, and emergency evacuation coverage. We are not responsible for costs you incur as a result of cancellation, rescheduling, or changes to any program. Travel insurance can protect your investment and cover costs we are unable to refund under this Policy.
7. Dietary and Accommodation Requirements
For retreat programs that include meals or accommodations, we must receive any dietary restrictions, food allergies, or accommodation needs no later than 30 days before the program start date. We will use reasonable efforts to accommodate disclosed needs, but we cannot guarantee that all requests can be met, particularly where we are working within the constraints of a third-party venue’s kitchen or facility.
Severe or life-threatening allergies must be disclosed at time of booking. Participants with anaphylactic allergies should carry an epinephrine auto-injector at all times.
8. Conduct and Removal
We are committed to creating a safe, supportive, and inclusive environment for all participants. We reserve the right to remove any participant from a program, without refund, if their behavior is unsafe, harassing, discriminatory, or materially disrupts the experience of other participants or staff. Removal decisions are made at the sole discretion of the lead instructor or program director.
9. Photography and Media
We occasionally take photographs or video during retreats and programs for marketing and social media purposes. By attending, you grant us a limited license to use your likeness in such media. If you do not wish to be photographed, please notify us in writing before the program begins and we will make every reasonable effort to exclude you from media content.
10. Governing Law
This Policy is governed by the laws of the State of New Jersey. Any disputes are subject to the arbitration and dispute resolution provisions in our Terms of Service, with venue in Hunterdon County, New Jersey.
